Meeting Room & Reception Space Requests
WEFTEC In Conjunction With (ICW) Event Policies
- Policy prohibits functions from being scheduled during official programming hours: Monday – Wednesday, October 7 - 9, 8:30 a.m. – 5:00 p.m.
- Exception: training meetings for exhibiting companies’ personnel and/or manufacturers’ representatives.
- The policy also prohibits product displays in hotel suites and locations other than the official trade show floor at McCormick Place convention center, as noted in each exhibiting company’s license agreement.
Request Process
- Deadline: July 1, 2013
- Space is available at the Hilton Chicago (conference headquarter hotel) and at the Hyatt Regency McCormick Place (adjacent to the convention center).
- Please complete a separate application for each event. The applications are linked below.
- WEF will begin confirming assignments in mid-April by e-mail and will continue to e-mail confirmations approximately 2 weeks after receipt of new applications.
- Once WEF has assigned event space, it is the responsibility of the applicant/group to place all orders for food & beverage, audio-visual equipment, telecommunication lines (including internet), and electricity directly with the hotel. WEF will include hotel key contact information with the space confirmation e-mail.
- Companies/organizations interested in reserving a hospitality suite, defined as a parlor attached to a sleeping room, should contact WEFTEC Housing/Convention Management Resources, Inc. (CMR): WEFTECHousing@cmrus.com. Hospitality suites are available at many WEFTEC hotels.

A wide variety of spaces are available at the Hilton Chicago. The hotel requires groups to pay meeting room rental and to meet a food & beverage minimum. Minimums are negotiable.
